Recovering an old report card requires knowing who to contact, and the right interlocutor varies depending on the level of education, the age of the document, and the format (paper or digital). Between the original institution, the rectorate, the departmental archives, and digital tools like ENT, the timelines and chances of success are not the same. This article compares the different paths to find your grades and identifies the one most likely to succeed based on your situation.

Interlocutors and Timelines: Who Keeps What and for How Long

The main difficulty in obtaining an old report card lies in the retention period, which varies by organization. Here is a summary of the available channels and their respective limits.

Interlocutor Type of Document Usual Retention Period Request Method
School (middle school, high school) Report cards, school records Variable, often a few years after the student leaves Mail or email to the secretary
Rectorate / Academy Exam score reports (diploma, baccalaureate) Several decades for exam score reports Online form or mail
Departmental Archives Old school records Long-term retention after transfer by the institution Written request to the archives
ENT / Academic Services Digital records, online grades Access cut off as soon as the student leaves the institution EduConnect login (as long as the account is active)

The distinction between report card and exam score report is crucial. The rectorate retains the score reports for the diploma or baccalaureate for a long time. In contrast, quarterly report cards are the responsibility of the institution, which does not keep them indefinitely.

For university courses, it is the university itself that manages its archives. The rectorate of the academy does not hold documents from higher education or agricultural education.

School Reports from Middle and High School: The Path of the Original Institution

The most direct reflex is to contact the secretary of the middle or high school where you were enrolled. A postal letter or email is usually sufficient, specifying your last name, first name, dates of attendance, and the relevant class. The procedure to obtain an old report card almost always goes through this initial step.

The problem arises when the institution has closed, merged, or simply purged its archives. In this case, school records may have been transferred to the departmental archives. Contact the archives of the department where the institution was located by providing the same identity and schooling information.

If you are looking for a recent report (less than a few years), first check your Parcoursup file or the digital workspace of the institution. High school records (LSL) may still be available there, but access via Academic Services is cut off as soon as schooling ends at the institution.

Score Report for the Baccalaureate or Diploma: Request to the Rectorate

For national exams (baccalaureate, diploma, CAP, BEP), the request is addressed to the rectorate of the academy where the exam was taken, not to the one in your current residence. Most academies offer a downloadable form or a dedicated email address.

The documents generally required are:

  • A copy of a valid ID
  • Information about the exam: year, series, school attended
  • A stamped envelope for postal submissions, depending on the academies

Exam score reports are retained much longer than quarterly report cards. The rectorate remains the most reliable interlocutor for baccalaureate or diploma grades, even several decades later.

In case of loss of the diploma itself, no duplicate is issued. However, you can request a certificate of achievement, which holds the same value for an employer or training organization.

GDPR Access Rights: A Complementary Path for Digital Data

The grades and evaluations stored in digital work environments (ENT) constitute personal data under the GDPR. Article 15 of the regulation allows any former student to request a copy of their school data from the head of the institution or the data protection officer of the academy.

The institution must respond within one month from the receipt of the request. This period can be extended by two months for complex requests, provided that the institution notifies this extension within the first month.

This path mainly works for recently digitized documents. A few practical limitations to be aware of:

  • ENT account data are generally retained for a limited time after the student leaves
  • The institution may refuse a request deemed manifestly excessive or repetitive
  • Reasonable fees may be charged for additional copies

The GDPR access right does not replace a standard request to the secretary, but it offers a binding legal framework if the institution delays in responding or refuses without valid reason.

Which Procedure to Favor Based on Your Situation

The choice of channel depends on two variables: the type of document sought and its age. For a quarterly report card less than ten years old, the original institution remains the fastest route. For a baccalaureate score report, the rectorate of the relevant academy will respond even for older sessions.

The departmental archives come into play when the institution no longer retains the school record or has ceased to exist. The GDPR access right, on the other hand, mainly serves as leverage for recent digital data, with a response time regulated by law.

None of these procedures guarantee a result for very old documents for which no digital version exists. Keeping a copy of each report card yourself remains the safest precaution, as neither the institution nor the rectorate are required to archive them indefinitely.
